This Privacy Policy explains how CoPayee ("CoPayee", "we", "us") collects, uses, and protects your information when you use our website (copayee.com) and application (app.copayee.com).

1. Information we collect

Account information — name, email, business name, business website or Google Business Profile URL, phone number, and password.

Claim data — check images, payee names, claim numbers, property addresses, insurance carrier names, mortgage servicer names, and any documents you upload.

Usage data — pages visited, features used, device and browser information, and IP address. We use Google Analytics 4 for aggregate website analytics.

Payment information — payment details are collected and processed by our payment provider (Stripe). We do not store card numbers.

2. How we use information

• To provide and operate the CoPayee service.
• To generate document packets, extract data from checks, and communicate with mortgage servicers on your behalf.
• To verify that free-tier users are contractors or public adjusters.
• To send transactional emails (claim status, invoices, system alerts).
• To improve CoPayee (aggregate, de-identified analytics only — your documents are never used to train any AI model).
• To comply with legal obligations.

3. How we share information

We do not sell your personal information. We share information only with:

• Service providers that help us operate CoPayee (hosting, payment processing, email delivery, AI processing).
• Anthropic for AI processing of check images and documents, under commercial terms that prohibit use of your data for model training.
• Mortgage servicers and insurance carriers — only the documents and information you explicitly choose to send.
• Law enforcement, if required by valid legal process.

4. Data retention

We retain claim data as long as your account is active. You may delete individual claims or your entire account at any time. Deleted data is purged from our primary systems within 30 days and from backups within 90 days.

5. Your rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or export your personal information. To make a request, email privacy@copayee.com.

6. Cookies

We use essential cookies for authentication and Google Analytics for aggregate analytics. We do not use advertising or cross-site tracking cookies.

7. Children's privacy

CoPayee is not intended for users under 18.

8. Changes

We may update this Privacy Policy. Material changes will be announced via email and in-app notice.
